This documentation is to help you regarding each step of configuration. Please go through the documentation carefully to understand how this system is made and how to configure this properly.


# Installation Guide

Go through following installation process.

### **Pre-Requisites**&#x20;

You will need the following to upload this app.

1. Linux Server with LAMP/LEMP. (php version should be > 8.1.3)
2. FTP Tool to upload files to Server (eg: [FileZilla](https://filezilla-project.org/download.php?type=client))
3. Mysql Tool to create database.

### How to Install Fleet Manager

**Upload via FTP Server**

After downloading the script, upload it to your server using ftp client. If already installed on server, you can just visit your domain to continue with setup procedure. Also make sure your server/localhost runs PHP 8.1.3 or above

#### Server Requirements:

* PHP version 8.1.3 or above
* List of PHP Extensions:
  * BCMath PHP Extension
  * Ctype PHP Extension
  * Fileinfo PHP Extension
  * GMP PHP Extension
  * JSON PHP Extension
  * Mbstring PHP Extension
  * OpenSSL PHP Extension
  * PDO PHP Extension
  * Tokenizer PHP Extension
  * XML PHP Extension

Once everything is done you will see installation screen on your browser when you open the script url hosted on your domain. You need to enter 5 details on that screen. Below is the list.

1. Purchase Code <- You receive this when you purchase the script from CodeCanyon
2. Mysql/MariaDB server address
3. Database UserName
4. Database UserPassword
5. Database Name

### Configure Email&#x20;

The script comes with built in email configuration which is fake. You will not get any emails unless you enter your email server details in our email configuration file. Below are the steps to configure email account with script.

* Open **mail.php** file which is located inside **config** folder.
* Replace **smtp.mailgun.org** with your **SMTP HOST**.
* Replace **<fleetmanager@example.com>** with your **Email Address**.
* Replace **Fleet Manager** with your **Business Name**.
* Replace **<youremail@address.com>** with your **Email Address**.
* Replace **your-email-password** with your **Email Address Password**.
* Save The File and upload it to your server

Keep in mind that above Email Settings will be used for communication inside the script.

### Configure Notification&#x20;

To configure fleet manager notifications

1. You have to add expiration dates while adding new vehicles, drivers and set service reminders for vehicles.
2. then set cronjob in your control panel and run schedule command.

Run this schedule on every minute in your control panel

# Login/Dashboard

Enjoy first login with our default username password.

Once you are logged in we recommend you change the password on the "Edit Profile" page.\
Script comes with some Sample Data and you can see it on the dashboard page in charts.\
Below is the look of the Dashboard Screen.

The dashboard provides an overview of income and expense, the number of users (Users, Customers, Drivers & Vendors), and vehicles with their bookings.

Additionally, customers can see the ongoing bookings along with the drivers assigned to them and the admin can view the alert request received from the customer if they find any issues with the vehicle and driver

# Users

There are 4 types of Users in this system.

1. Super Administrator (Having Absolute Power)

# Users

About Users

System Users who will manage the online system. These users are managed by admin to access the system. Admin is required to assign specific role and vehicle group to that user so that only that user can have access to those assigned functionalities only.

Superuser can give various permissions to a user to manage the scope and features he can use within the system.   &#x20;

### **A. Add Users**

Before Creating user, we would suggest creating a vehicle group and creating role.

o   Add Basic detail of User (First name, Last name, Email id & photo).

o   Set Password to access that user profile.

o   Assign the role to manage the system.

o   Assign the vehicle Group to that user.

### **B.Manage Users**&#x20;

Here User can see all the system users that are created by default or by you. you can view all users with serial numbers, profile photos, email IDs, and account creation date and time.

### &#x20;Show Entries

By clicking the Show User Entries menu, you can set the number of user entries according to your needs, such as 10, 25, 50, or 100. If you select 10 users, you will see only 10 users. You have to click the next button or the previous button to see the next 10 users.

### Delete Multiple Or All Users

You can select multiple or all users to delete users according to your needs.

### Search Users

By clicking on the search box, you can search for users by their name, email id or account creation date.

### Multiple Search

You can search in multiple fields for specific data.&#x20;

**Example:** You have multiple users named "Carlos" but you want to find the name "Carlos" who has a Hotmail ID. The system will generate below result.

### Arrange users in ascending or descending order.

You can view user details in ascending or descending order according to your needs. You can apply in ascending or descending order of serial number, name, email and account creation date.

### Edit User

Here you can edit existing user details like first name, last name, e-mail id, profile photo and you can assign a new appropriate role to current user for a specific module and admin permission. According to your needs, you can also change the vehicle group.

### **Delete User**

User can delete the users as per requirement. To delete a user,click on the dropdown menu available in the action column and click on delete.

### Change User Password

Super admin and admin can change the password of the user. To change a user's password, click on the drop-down menu available in the Action column and click on Change Password.

# Drivers

## **A. Add Driver**

**As below  User can add driver details.**

**First Name**                          Add the driver's first name.&#x20;

**Middle Name**                                  Add the driver's middle name.&#x20;

**Last Name**                   Add the driver's last name.&#x20;

**Assigned Vehicle**                      You can assign a vehicle to a driver.&#x20;

**Address**                Add the residential address of the driver.&#x20;

**Email**              Add the email id of the driver.&#x20;

**Phone Number**                Add the driver's phone number or mobile number.&#x20;

**Employee ID**               Add the employee ID of the driver.&#x20;

**Contract Number**                Add the driver's contract number.&#x20;

**License Number**                Add driver's license number.&#x20;

**Issue Date**                Add the driving license issue date.&#x20;

**Expiration Date**                Add the expiry date of the driver's license.&#x20;

**Join Date**              Add the driver's company joining date.&#x20;

**Leave Date**             Add the date the driver left the company.&#x20;

**Password**              Add a new password for the driver.&#x20;

**Type of Driver Commission**: Two options are available for commission

1. **Amount**: If admin select an amount, it means you will pay a fixed amount to that driver.
2. **Percentage**: If the admin selects percentage. It means you will work with a driver on a percentage basis, and you will pay xyz% to that driver.&#x20;

**Gender**: Select Male or Female radio button.&#x20;

**Driver**: Upload a photo of the driver.&#x20;

**Documents**: Upload driver’s national identifiers. (ID Proof)

**License Image**: Admin can upload the driver's license image.&#x20;

**Emergency Contact Details**:  Add the driver‘s alternative contact details, which might be required in an emergency.

### **B.Manage Drivers**

Admin can view the details of all drivers by default or those created by you. You can add or import drivers from an Excel sheet and change the ID. You can sort and search driver data according to requirements.

### Show Driver's Entries

Here admin can see the list of drivers according to your requirements, like 10, 25, 50, and 100.

By clicking on the search box, you can search for drivers by their name, email id or account creation date.

### Multiple Search

Admin can search in multiple fields for specific data.

**Example:** You have multiple drivers named "Mariah", but you want to find the named "Mariah" who has an email ID @ example.net. The system will generate below result.

### **Import Drivers**

Admin can download the sample Excel file and fill the data in the file format accordingly. With this option, you can add multiple driver records in seconds.

### Delete multiple or all drivers

Admin can select multiple or all drivers to delete drivers according to your needs

### **Edit Driver**

Here you can change the driver's first name, middle name, last name, assigned vehicle, address, phone number, issue date, expiry date, joining date, leave date, password, driver commission type, driver, documents and license image. You can not change employee id, contract number, license number and email address because it's unique.

### Change the Driver's Password

Admin can reset the driver's password.

### Delete Driver.

Admin can delete or remove the driver.

### Enable / Disable Driver

If the driver is not available, you can disable the driver. When the driver becomes available, you can enable the driver.

## **Verify Driver Check Document**

It allows the admin to check and verify the driver's documents and update their status accordingly.

An admin is required to update the status as **"Verified," "Rejected," or "Not Verified"** based on the verification status.

**Only verified drivers can access their login. If they are not verified, they must first be verified by the admin.**

## **Driver Features (Driver Profile - Uses Default System)**

**o**   Driver can log in and use their dashboard.

**o**   Driver can view bookings and profile details on their dashboard.

> <mark style="color:blue;">**A driver cannot start a booking unless the admin enables the option in the General Settings from the admin panel. Once a booking is completed by the admin, the driver can see the status as**</mark>**&#x20;**<mark style="color:$info;">**‘Completed Ride’**</mark>**&#x20;**<mark style="color:blue;">**in their login**</mark>

**An admin user is required to enable Driver Ride Control Settings from the General Settings.**

**o**   Driver can edit their own profile details at their convenience.

**o**   Driver can create notes for themselves, and they can also view notes created for them by system users.

**o**   Driver can change their login passwords.

## My Bookings Screen - Ongoing Ride Access

The Ongoing Ride option is available when a trip is active, allowing the driver to continue and monitor the journey directly from the system.

Once selected, the driver is redirected to the ride screen where they can track and manage the ongoing trip with navigation and trip details.

#### Ongoing ride elements includes:

* **Destination Location** – Displays the final destination of the trip
* **Petrol Pump Icon** – Redirects to Google Maps to find nearby petrol pumps
* **Parking Icon** – Redirects to Google Maps to find nearby parking areas
* **Total Time** – Shows the estimated travel time for the trip
* **Total Kms** – Displays the approximate distance of the trip
* **Track Ride Button** – Allows the driver to track the ongoing journey
* **Destination Reached Button** – Enables the driver to mark the trip as completed

#### Completed Ride Details

Once the Destination Reached option is selected, the system marks the trip as completed and redirects to the Completed Ride screen, where the driver can view the journey summary and trip details.

## Vehicle Inspection

The vehicle inspection module enables administrators to review and monitor vehicle inspection details, ensuring that vehicles are properly checked and maintained for safe and efficient operations.

Vehicle Inspection Entries include –

o View inspection entries

o Search and filter records

o Delete and multi delete entries

o Show entries (10, 25 & 100)

#### Vehicle Inspection details includes:

* **Vehicle** – Displays the name and type of the vehicle inspected
* **Review By** – Shows the name of the person who reviewed the vehicle
* **Registration Number** – Displays the vehicle’s registration number

#### Add Vehicle Inspection

* **Action** – Provides options to manage the inspection record (such as view).

## Tyre Issue Management

Drivers will add tyre issue details such as puncture, damage, or replacement needs during their trip or vehicle usage.

This feature helps the admin track such issues, maintain tyre health, and ensure vehicle safety and performance.

#### Add Tyre Issues

#### Add Tyre Issue Entry as –

**Step 1:** Select the vehicle for which the tyre issue is reported.

**Step 2:** Select the date when the issue occurred.

**Step 3:** Enter the unique tyre serial number for identification.

**Step 4:** Enter the vehicle’s current km reading at the time of issue.

**Step 5:** Select the position of the tyre (Front Left, Front Right, Rear Left, Rear Right).

**Step 6:** Select the reason for the issue which are pre-defined. (e.g., puncture, damage, etc.).

**Step 7:** Click on submit to record the tyre issue.

#### Manage Tyre Issues

It includes the following options to manage tyre issues:

* Add Tyre related issues
* Search and filter tyre issue records
* Delete and multi delete tyre entries
* Show entries (10, 25 & 100)
* View and manage tyre issues details with action options

**Vehicle** – Displays the selected vehicle for which the tyre issue is reported.

**Date** – Shows the date when the tyre issue was recorded.

**Serial Number** – Displays the unique identification number of the tyre.

**Tyre Position** – Shows the location of the tyre (Front Left, Front Right, Rear Left, Rear Right).

**Reason** – Displays the cause of the tyre issue (e.g., puncture, damage, wear).

**Status** – Shows the current status of the tyre issue:

* **Pending** – Issue is yet to be reviewed from admin
* **Approved** – Issue is accepted and processed from admin.
* **Rejected** – Issue is not accepted or declined from admin.

#### Edit Tyre Issues Management

The admin can update tyre issues details anytime as required by taking appropriate actions.

The admin can delete tyre records from the Tyre Issues section as per required by taking appropriate actions.

## Fuel

### A. Add fuel

Driver is required to create new fuel entry by adding all the details.

* **Select Vehicle** – Displays the list of active vehicles; select the required vehicle
* **Date** – Add or select the required date and time for the fuel entry
* **Meter Reading** – Enter the current meter reading of the vehicle (in KM)
* **Reference** – Add a reference note if required (e.g., trip or purpose)
* **State/Province** – Enter the state or province where the fuel entry is recorded
* **Receipt Image** – Upload the fuel receipt image for record and verification
* **Note** – Add any additional information or remarks

* **Fuel is Coming From** – Select the fuel source (Fuel Tank, N/D, or Vendor)
* **Vendor** – Choose the fuel vendor if applicable
* **Qty (Liter)** – Enter the quantity of fuel filled (in liters or gallons or kwh)

If an E-Vehicle is selected, the fuel unit will automatically change to kWh during fuel entry.

* **Total Amount** – Displays the total fuel cost based on quantity and unit price
* **Cost/Unit** – Enter the cost per unit of fuel

#### **Complete fill Up!!**

Drivers need to enable the **Fuel Reimbursement button** to claim reimbursement for fuel expenses incurred during bookings.

If the button is disabled, the admin will not be able to see the fuel entries added by the driver, and those entries will not be reimbursed.

### B. Fuel History

Fuel history refers to the record of all fuel entries for vehicles, including quantity, cost, and usage details over time.

**Fuel History Features includes -**&#x20;

* **Vehicle Image** – Displays the image of the vehicle
* **Vehicle Name** – Shows the name and details of the vehicle (with VIN)
* **Add By** – Displays the name who added the fuel entry
* **Date** – Shows the date when the fuel entry was added
* **Qty** – Displays the quantity of fuel filled (in Liter or kWh)
* **Cost** – Shows the total fuel cost along with cost per unit
* **Start Meter** – Displays the vehicle’s meter reading at the time of fuel entry
* **State/Province** – Shows the state or province of the fuel entry
* **Reimbursement Status** – Displays whether the fuel reimbursement is accepted or pending
* **Action** – Provides options to manage the fuel entry (edit, or delete)

### C. Fuel Reimbursement History

Once any new fuel entry is added, it is recorded in the Reimbursement History section, where the driver can view all fuel reimbursement entries along with their status and details.

Reimbursement Entries include –

o View reimbursement entries

o Search and filter records

o Delete and multi delete entries

o Show entries (10, 25 & 100)

**Features of Reimbursement History:**

* **Vehicle Image/Name** – Shows the vehicle image or name used for bookings, for easy identification
* **Added By** – Displays the driver’s name who added the fuel entry
* **Date** – Shows when you added the fuel entry
* **Quantity** – Displays fuel quantity
* **Cost** – Shows total fuel cost
* **State/Province** – Displays location of fuel entry
* **Reimbursement Status** – Shows two types of status:

**Accepted** – Your request for fuel reimbursement is accepted by the super admin&#x20;

**Rejected** – Your request for fuel reimbursement is rejected by the super admin.

* **Payment Method** – A default method (Cash, Credit Card, Bank Transfer, UPI, or Cheque) is set and automatically reflected, as used by the admin for reimbursement.
* &#x20;**Payment Date** – It shows the date on which payment is processed.

## Travel Allowance

Travel Allowance lets drivers claim extra expenses incurred during a trip.

Drivers can submit travel allowance requests from the Booking screen while editing an ongoing trip using the Request option.

Drivers can add travel allowance only during an ongoing, upcoming, or today’s completed trip; it is not allowed otherwise.

**Features of Travel Allowance History:**

* **Booking ID** – Shows the booking reference for the trip of the driver.
* **Driver Name** – Displays the driver’s name who added the travel allowance.
* **Allowance Type** – Shows the type of travel allowance (e.g., Toll/parking, Food, Mileage)
* **Price** – Displays the total cost of travel allowance.
* **Status** – Shows two types of status:

**Accepted** – Your request for Travel allowance is accepted by the super admin.&#x20;

**Rejected** – Your request for Travel allowance is rejected by the super admin.

* **Payment Method** – A default method (Cash, Credit Card, Bank Transfer, UPI, or Cheque) is set and automatically reflected, as used by the admin for allowance.
* **Payment Date** – It shows the date on which payment is processed.

## Transactions

**The driver&#x20;**<mark style="background-color:green;">**can view the assigned vehicles to them and those allocated for booking.**</mark> Income and expenses can be added and edited as per the requirements for the selected vehicle.

## Emergency SOS Alert

The Emergency SOS Alert feature allows drivers to instantly notify the system during emergency situations such as accidents, vehicle breakdowns, or unsafe conditions while on a trip.

When the SOS button is triggered, an immediate email notification is sent to the ***Admin and Super Admin, enabling quick response and timely action.***

## A. **Add Customer**

Admin can add and save customer details from backen&#x64;**.** Admin can enter customer details like first name, last name, phone number, email, address and gender.

Additionally, the admin can assign the customer to an organization while creating the entry and set a monthly limit for the customer.

# Vehicles

Vehicle module keeps records of basic information about vehicles and their types (Car, Bus, Truck, etc.). it provides grouping feature to create a group of vehicles (Indian vehicle, electric vehicle). Additionally, it offers an inspection feature, allowing you to perform vehicle inspection of vehicle and record in this system.it provides vehicle track facility, enabling you to tack your vehicle at any time.

It makes it easy to manage multiple vehicles with different types and extensive features.


# Manage Vehicles

## **A. Add Vehicle**

## <mark style="color:blue;">Let’s add a new vehicle and embark on the journey!</mark>

**Select Vehicle Make\*:** The admin must select the vehicle company, such as Tata, Maruti, or any other vehicle company.&#x20;

**Traccar Device ID:** In order to monitor the vehicle's location, the administrator needs to input the Traccar device id when add or editing a vehicle.

**Vehicle Year\***: Enter the vehicle manufacturing year of the vehicle.

**Average (km per gallon)\***: Enter the vehicle's average km per gallon ( 1 US gallon is defined as 3.7854 liters).

**Initial Mileage (Km)\*:** Enter the details of how many kilometers the vehicle has been driven before purchase.

**Vehicle image**: Upload the vehicle's image.

**Registration Expiry Date\***: Select the registration expiry date of the vehicle.

**In service?** : User can enable or disable the toggle button to specify whether their vehicle is in service or not.

**Select Vehicle Colour\***: Here you can select your vehicle color.&#x20;

**Vehicle Engine Type\*** : A new Electric Vehicle option is introduced to support modern EVs, making vehicle management easier and more efficient for both drivers and admins.

Select the vehicle engine type like Petrol or Diesel or E-vehicle.

**Vehicle Horse Power \*:**  Enter the horse power of your vehicle.

**License Plate\*** : Enter vehicle number.

**License Expiration Date \***: Enter the expiry date of your driver's license.

Vehicle Group\*: First create the vehicle group and after select.

**Price:** With this price, the admin can set a fixed amount, which will be used as the booking fare.

**o   Disable Vehicle**   - The user can directly enable or disable the vehicle directly from here.

In the Manage Vehicle section, a new feature has been added to provide access to fuel history. The admin can view fuel-related records and details for each vehicle.

#### **Vehicle Fuel Insights – Vehicle Management**

The admin can view the total kWh consumption and overall mileage of the selected vehicle in the fuel history section of the managed vehicle. This provides detailed insight into fuel usage and performance.

* **Qty** – Displays fuel/energy quantity (Litre or kWh).
* **Cost** – Shows total cost.
* **Meter** – Displays start and end readings with distance covered.
* **Consumption** – Shows mileage (Km/L or Km/kWh based on engine type).
* **State/Providence** - Shows the state where the fuel was filled

# Manage Vehicle Types

User is required to create vehicle types(SUV, TRCUK, MINI VAN, BUS, SEDAN) before adding a new  type of vehicle.

User can easily manage vehicle types as per the requirement and at any time.

# Tyre Inventory

## A. Tyre Inventory Management

In the Vehicle section, a **Tyre Inventory Management** feature has been introduced. The admin can track and review tyre-related details in the Tyre Inventory section.

### Steps to Add Tyre Entry:

**Step 1:** Select the Vehicle from the dropdown for which the tyre is assigned.

**Step 2:** Enter the Tyre Serial Number to uniquely identify the tyre.

**Step 3:** Add the Brand name of the tyre.

**Step 4:** Enter the Size of the tyre.

**Step 5:** Select the tyre Type tube less or tube.

**Step 6:** Select the Position of the tyre (Front Left, Front Right, Rear Left, Rear Right)

**Step 7:** Enter the Installation Date when the tyre was fitted.

**Step 8:** Add the Installation Mileage (KM) at the time of installation.

**Step 9:** Enter the Warranty Period (Months) for the tyre.

**Step 10:** Select the Warranty Expiry Date based on the warranty period.

**Step 11:** Enter the Purchase Price of the tyre.

**Step 12:** Select the Vendor from whom the tyre was purchased.

**Step 13:** Choose the Status, such as:

# Tyre Issue

The tyre issue management module is used to record and manage tyre-related issues such as punctures, damage, wear, or replacement during vehicle usage, ensuring streamlined tracking and better maintenance control.

### Add Tyre Issue Entry as –

Step 1: Select the vehicle for which the **tyre issue** is reported.

Step 2: Select the **date** when the issue occurred.

Step 3: Enter the unique **tyre serial number** for identification.

Step 4: Enter the vehicle’s current **km** reading at the time of issue.

Step 5: Select the **position** of the tyre (Front Left, Front Right, Rear Left, Rear Right).

Step 6: Select the **reason** for the issue (e.g., puncture, damage, etc).

Step 7: Click on **submit** to record the tyre issue.

**Vehicle** – Displays the selected **vehicle** for which the tyre issue is reported.

**Date** – Shows the **date** when the tyre issue was recorded.

**Serial Number** – Displays the unique **identification number** of the tyre.

**Tyre Position** – Shows the **location** of the tyre (Front Left, Front Right, Rear Left, Rear Right).

**Reason** – Displays the **cause** of the tyre issue (e.g., puncture, damage, wear).

**Status** – Shows the current **status** of the tyre issue:

* **Pending** – Issue is yet to be reviewed by admin
* **Approved** – Issue is accepted and processed
* **Rejected** – Issue is not accepted or declined

# Vehicle Track

The system will display information such as vehicle tracking, ongoing bookings, current speed of the vehicle, name of the driver, and the model of the vehicle.

To view live vehicle tracking, User has to enable it, through the tracker setting available in the settings menu.

**Traccar Device Id :** In order to monitor the vehicle's location, the administrator needs to input the traccar device id when add or edit a vehicle.<br>

The Transactions menu assists user in managing income and expense records for a specific time periods.

## Manage Income

User can log income from various sources for a specific date, and all these records are easily manageable by user.

### A.Add Record

**Step 4    -**      Select Driver. <mark style="background-color:green;">**(Only active drivers are visible.)**</mark>

**Step 5    -**      Select no of travellers.

<mark style="background-color:green;">**( User can  add a number of travellers up to its vehicle capacit,y which has been set while creating vehicle types.)**</mark>

**Step 6    -**    Add pick-up and drop-off address.

**Step 7    -**    Add a relevant note if applicable.

**Step 8   -**    Add a user-defined field.

**Step 9   -**      Click on round trip and enter drop-off date and time if required

Round Booking The Fleet Management System enables customers to add round-trip bookings. Customers can schedule round-trip journeys seamlessly.

### How to manage Round Booking?

After creating a round booking entry, the system will create double entries with the different icon.

### First entry (Single Booking)

The admin can view the booking details for a single trip in the above section. For a return booking, the pickup date and time are shown as entered during booking creation. The admin must then add the drop-off date and time.&#x20;

> ### <mark style="color:blue;">The admin cannot modify the vehicle or driver for incoming or return bookings; however, both bookings can be modified at any time.</mark>

### Second Entry (Round Booking)

This is the second entry for the round-trip booking. While editing, it appears the same as a single booking.

### Invoice Generate

Two separate invoices are generated for the two bookings in a round-trip booking. The fare is calculated the same way as for a single booking.

### How to manage Round booking?

* It is displayed in Manage Booking with the different pickup and drop-off dates and times and with different icons.
* The admin can't edit the vehicle or driver for a round trip or an incoming booking, as both are occupied during that timeframe and unavailable for other bookings.
* The admin can delete or remove any booking.

### Delete or Remove Booking

### <mark style="color:blue;">An admin will see a pop-up when deleting either booking of a round trip. If the</mark> <mark style="color:blue;">green toggle icon is enabled, both bookings will be deleted. After deleting one booking of the round trip, the remaining booking will be treated as a single or normal booking.</mark>

After completing the first step, admin can now view all the added reasons and effortlessly cancel their bookings.

Before adding details, the user is required to set some criteria from the settings module.

The image below guides the user to generate an invoice for a particular booking.

o   **Km (mileage)** - Displayed value (Km) guides the admin to decide the rate of ride; however, here, **10 km** can be modified by the admin while generating the invoice.

,o   **Waiting time (in minutes)** - Add waiting time (5 min here), and charges for an extra **5 min** would be added to the total amount.

o   **Tax charges** - Set tax charges from **Setting Module -> General Settings ( as displayed below in image 2)** because it cannot be modified by the admin directly from here.

o   **Amount** - Displayed amount (₹500) is the default amount, which is calculated on the basis of the data inserted in **Setting Module -> General Settings;** however, it can be changed by the admin directly from here if required.

User is required to set base or default charges according to the vehicle type, km & day type. Additionally, waiting charges are to be set per minute.

## Driver Availability

Driver availability is a feature that allows the admin to know whether a driver is free before assigning a booking. Once the driver updates their availability in the app, the admin can see it as online or offline. However, the admin can still assign the driver to a booking if needed.

In the fare settings, the admin has configured the pricing for the **sedan vehicle type** as follows:

* **Base Price:** ₹503 for the first **10 km**
* **Standard Fare:** ₹20 per km for any additional distance
* **Waiting Time Charge:** ₹2 per minute

### Complete Journey

After generating the invoice, the admin can see two options, i.e, complete journey and receipt for completed journey.

## Booking Status and Payment Status:

* &#x20;**Pending:** The booking has been created, but a driver has not been assigned yet.
* **Upcoming:** The booking has been created, and a driver has been assigned.
* **Ongoing:** The booking has been created, a driver is assigned, and the invoice has been generated (regardless of whether the payment is completed, an Advance payment from the customer, or not).
* **Completed:** The journey has been completed following the booking.

### Org Customer Report

It exhibits the financial details of customers under a selected organization. It analyzes the monthly limit, amount used, available balance, paid amount, and pending booking amount for a specific period of time.

The Fuel Reimbursement option is visible to drivers or admin when the admin enables the Fuel Reimbursement setting. If disabled, the driver will not see the fuel reimbursement toggle button.

* **Cost** – Shows the total fuel cost
* **State/Province** – Displays location of the fuel entry
* **Reimbursement Status** – Shows two types of status:

&#x20;     **Accepted** – The reimbursement request is approved &#x20;

&#x20;    **Rejected** – The reimbursement request is not approved

* **Payment Method** – A default method (Cash, Credit Card, Bank Transfer, UPI, or Cheque) is set and automatically reflected which were used for reimbursement.
* &#x20;**Payment Date** – It shows when the payment was processed

# Travel Allowance

### **Travel Allowance**

The travel allowance module enables administrators to compensate drivers for travel expenses incurred during active rides or bookings, ensuring streamlined management and better financial control.

**Visibility Control - Admin panel >> General settings**

The Travel Allowance option is visible to both drivers and the admin only when the admin enables the Travel Allowance setting. If it is disabled, the admin will not see the menu in their login.

The admin can view all travel allowance entries with status and details in the Travel Allowance History section which were added by the **driver or admin from their login.**

o Show entries (10, 25 & 100)

* **Booking ID** – Displays the booking reference number
* **Driver Name** – Shows the name of the driver who submitted the entry
* **Allowance Type** – Displays the type of allowance (e.g., Toll/Parking, Daily, Food)

* **Payment Date** – Shows when the payment was processed.

**City:** Provide the name of your city.&#x20;

**State:** Enter the name of your state.&#x20;

**Country:**  Enter Country Name.&#x20;

**Distance Format:**  Select the distance format of miles or km.

**Fuel Qty. Unit:** Select a fuel quantity unit like gallons or litres or kwh.

**Date Format:** Select Date Format.

**Tax No:** Enter your organization's or personal tax number.

**Vehicle Interval (In minutes):** Set the interval between the same vehicle in minutes.

**Driver Interval (In minutes):** Set the interval between the same driver in minutes.

For example, if the admin sets a vehicle interval of 30 minutes in the general settings, the vehicle will not be available for the next 30 minutes after any booking has been completed. **Tax Charges:**  Enter tax charges with % that will applicable to Booking invoice and transaction income.

**Default Service Item interval:**  Add the number of days for the default service item internal interval.&#x20;

**Invoice Text:** The admin may customize the invoice by adding required text. On the booking receipt and booking quotation receipt, this invoice text will be shown.

**Website Footer:** The website footer can be manually customized as needed. This content will be added to the admin panel.

**Fuel Reimbursement Control:** Admin can enable or disable fuel reimbursement for the driver. The driver can manage fuel reimbursement entries only if this feature is enabled.

**Income Enable For Driver:** Admin can enable or disable driver income. The driver can manage Income entries for his car if this feature is enabled.

### Return Booking

If the admin enables the return booking feature from the admin panel, both the admin panel and the customer's frontend will display the return booking option.

**Driver Ride Start Control:** By enabling this feature, the admin can restrict drivers from starting bookings. Once this feature is enabled, drivers can only start the bookings assigned to them.&#x20;

**Organization Mode:** Admin can enable or disable organization mode. When enabled, the system operates based on organizational settings and controls for better management.

When Organization Mode is enabled, the customer’s fare cost is deducted from the organization’s allocated funds instead of the individual customer. If disabled, the fare is charged directly to the individual customer.

# API Settings

You can enable or disable API from here and have other settings which will reflect on your API and hence on the mobile app.

### General API Settings

**API:** The admin user can restrict mobile app login. This means if the admin disables this API, the mobile app will not work.

**Google Location API**: You must provide an API key in the Driver Maps section in order to enable the Google Location API option. By turning on this feature, the user will be able to receive address recommendations from Google Maps when creating a new booking.

**Anyone can register:** The admin can directly control new registrations from the frontend or website. By enabling this option, the admin allows new registrations.

**Driver Review System**: By enabling the review feature, the admin can view newly submitted reviews posted by customers from the frontend.

**Region Availability:** You can type the name of your region here.

**Maximum Time a Trip can Go(in Days):** Admin can choose the maximum number of days for a trip here.

**Future booking timing (in days):** You can specify how many days in advance you can reserve a vehicle in the future.

**Cancel timing (in days):** Here, you may indicate how many days before your trip you can cancel.

### Firebase Settings

Steps to store firebase Database URL which is used in Android APP and to track Drivers in Admin panel

1. Sign in to Firebase Console and generate new private key of your firebase project which you will used for Fleet manager.
2. Rename your downloaded file to **firebase\_credentials.json**
3. Replace your file at **PROJECT\_FOLDER/framework/storage/firebase/** location
4. Then store your firebase Database URL here.

### Driver Maps

To track driver positions, respond to suggestions in bookings, and determine total mileage, input the API key.&#x20;

# Payment Settings

Here, you may choose the payment option that will be used to pay you. Cash, Stripe, RazorPay, and PayStack are all acceptable payment options. Here, you may also choose a currency code.

Here, Admin may configure the mail settings that will be used to send system emails. They can set the mailer type, mail host, port, username, and password, and test the configuration before saving.


# Dynamic Fare Range

#### A. Dynamic Fare Range

Dynamic fare helps the admin set pricing based on booking demand (area overlap), making fare calculation easy, automatic, and flexible.

The admin can enable the Dynamic Fare Range option from Settings >> General Settings to apply fare calculation based on defined ranges(fixed by admin); otherwise disabled, standard fares are applied.

#### Dynamic Fare Range calculation

Formula:

Final Count = (Daily Overlaps × 0.75) + ((Weekly Overlaps ÷ 7) × 0.25)

The system tracks how many bookings overlap in a specific area (using geofence).&#x20;

It calculates a final count using both daily and weekly ride, where daily ride has more impact. Based on this final count, the system automatically selects the matching range and applies the defined fare percentage.

The admin can see that the system automatically calculates fares based on booking overlap (daily & weekly) and applies the fare as per the defined ranges.<br>

#### B. Add dynamic Fare Range

By clicking on the “+” button, the admin can add new dynamic fare range entries.\
• Min Value – Minimum limit of the final count\
• Max Value – Maximum limit of the final count\
• Percentage (%) – The fare adjustment (increase) applied when the demand falls within this range.

## How do I get a Google Maps API key?

**Create new API keys:**

1. Go to the Cloud Console.
2. Open the left-side menu and select APIs & Services > Credentials.
3. On the Credential page, select the Create credentials drop-down and choose API key.
4. The API key created dialog box displays your newly created key.
5. You may want to make a copy your API key (the API key is always available through the console). For security, we strongly recommend that you restrict your API key.
